Job Description

Over the past three years we have designed close to $1 billion of built infrastructure. Our portfolio of projects includes the New Zealand Pavilion at Dubai Expo 2020, City Rail Link station designs, new AUT buildings, modern schools, mixed-use and multi-unit residential projects, and others still under wraps.

Our Wellington studio has an opportunity for an experienced Personal Assistant amp; Office Administrator to join the team on a fixed-term (parental leave cover), part-time contract. This role is 25 hours per week, working 5 hours over 5 days, and can be flexible on start and finish times. You will report to the Studio Lead, and have a positive attitude and proven experience in a similar role, to hit the ground running in the new year.


Responsibilities

This role provides Personal Assistant support to two Principals in our Wellington studio, and office administration to ensure the studio runs smoothly. Alongside PA duties of email and calendar assistance, travel bookings, expenses and filing, you will be responsible for:

  • Meeting and greeting all visitors to the studio, ensuring they are welcomed and hosted.
  • Coordinating studio events with our team, hosting visitors and representing Jasmax in a positive, professional and friendly manner.
  • Preparing meetings rooms, orchestrating conference calls and coordinating catering and minute taking, as needed.
  • Preparing presentations and documentation for Principals and ensure they are fully briefed for all meetings and engagements.
  • Monitoring and scheduling business development meetings,maintaining the database with up to date information.
  • Maintaining the office facilities and building maintenance by liaising with cleaners, security and suppliers.

Requirements

We are seeking an experienced PA and Office Administrator with 3 years+ recent experience in a similar role. Ideally you will have a certificate in business and hold knowledge of the construction industry, as this will be beneficial to hit the ground running.

You will have the following skills and attributes:

  • Advanced computer skills in Microsoft Office with experience reconciling expenses.
  • Excellent attention to detail, organisational and time management skills.
  • Articulate and clear verbal and written communications skills.
  • Deadline and customer service focused with the ability to multitask and prioritize workload.
