Our purpose-built offices close to Auckland Airport is home to New Zealand’s largest Distribution Centre and our Support Centre where our team of 1000 people strong, all strive towards becoming one of the most customer driven retailers in the world.We have an exciting new role in our IT Shared Service team as the ITSS Project Coordinator! About the roleThis is a broad and exciting role that supports the wider team to deliver world class shopping experiences for our customers by providing operational support, analysing and coordinating medium to large scale IT projects/programme. This role is critical in supporting Project/Programme Manager to ensure milestones are met and the project/programme teams are working towards the same goal.
In this role you will: · Ensure that expenditure is included in project plans and that it accurately reflects actual expenditure for regular review with project/programme managers.· Monitor and manage project expenditure (e.g. purchase orders, suppliers’ invoices, track Jira/Tempo timesheets etc), ensure that all financial targets are met and examine any areas where budgets and expenditure exceed their agreed tolerances.· Assist with on-boarding of new project managers, ensure contractors have a signed SOW (statement of work) and arrange for their IT, premise access, laptop and other tools-of-trade are set-up.· Support Project/Programme Managers in developing and maintaining project plans, detailed timelines, RAID logs, project reports and other project artifacts.· Coordinate and facilitate project meetings and workshops.· Schedule Steering Committee and stakeholders’ meetings and assist project/programme managers on building the Steering Committee collateral (e.g. Steerco reports, business case etc) and other stakeholders update materials.· Ensure that realistic project and/or sprint plans are prepared and maintained and provide regular and accurate reports to stakeholders as appropriate.· Active contribution to the continuous review and improvement of project management practices, processes and toolsets, particularly as we adopt more agile methodologies.About you
To be successful in this role out you’ll be an awesome communicator with the ability ask the right questions, research, gather information and formulate it into meaningful content. You will also have:· Relevant project coordination experience in the IT industry along with experience in project coordinating successful medium to large-sized projects.· Relevant formal qualification such as PMI or PRINCE2.· Experience working with Agile and Waterfall methodologies. · Excellent analytical skills with the ability to contextualise situations so that issues can be viewed within a strategic setting.· Demonstrated ability to identify, monitor and manage the risks and implement risk management strategies, as appropriate.· Proven track record of effective qualitative and quantitative judgement and decision making.· Experience with project management tools such as Excel, MS Project, JIRA/Tempo and Cherwell.
