Job Description

This role reports into the Chief Operating Officer and is Auckland based (to facilitate and organize the in person events).

Core Competencies

Business Operations

  • Provide executive support to CEO, COO and the Board of Directors.
  • Manage and co-ordinate Senior Leadership Team initiatives.
  • Process accounts payable and provide support to the Finance team for accounts receivable
  • Optimise operations, systems and practices that can scale as we grow, follow best practices and continuously improve.
  • Support the CEO through coordination of administrative activities connected to fundraising (i.e. due diligence requirements)
  • Project manage key company initiatives and strategic or one-off projects
  • Lead the completion and submission of various applications requiring input from multiple parts of the business (e.g. financial grants, industry awards)
  • Build and maintain relationships with vendors, suppliers, and partners to ensure smooth and efficient operations across the business.

People Experience

  • Foster a sense of community and engagement within the organization. Organise in-person and virtual social, cultural activities and wellbeing initiatives and manage within budget.
  • Onboard new team members across the globe (including support with tech set up) and offboard departing team members from systems, tools and processes.
  • Support hiring managers with recruitment activities
  • Manage employee contracts
  • Support people leaders with performance review and salary review processes.
  • Plan in-house or off-site events, such as board and company meetings, team celebrations and conferences
  • Oversee the operation of the Company's Health and Safety processes and reporting under the Health amp; Safety at Work Act 2015
  • Process bi-monthly payroll, employee leave applications and other employee benefit scheme administrative tasks

Requirements

You are experienced in

  • Office management; ideally supporting people across multiple offices and geographies
  • HR/People administration experience
  • Accounts receivable/payable experience would be advantageous
  • Xero and Gsuite
